Secretary

(Based in KL)

 

You'll work as a trusted and integral team member reporting directly to the President, to provide support and assistance in all areas of his work including handling day to day administrative and operational matters, and to undertake other special assignments, ad-hoc functions and related duties as and when required.

Your responsibilities will include:

  • Assist the executive in all possible works likes in meetings, preparing documents and presentation.
  • Complete all assigned work at given times without any delay and by the end of the day it is his/her responsibility to report the executive with the completion of given work.
  • Coordinate project based work
  • Design and maintain databases
  • File and retrieve documents and reference materials
  • Conduct research, collect and analyze data to prepare reports and documents
  • Manage and maintain executive’s schedules, appointments and travel arrangements
  • Arrange and coordinate meetings and events
  • Record, transcribe and distribute minutes of meetings
  • Write and disseminate official letters to various government agencies
  • Plan, prepare and coordinate with the organization of events, conferences and congresses
  • Monitor, screen, respond to and distribute incoming communications
  • Liaise with internal staff and related agencies/associates at all levels
  • Review operating practives and implement improvemenets where necessary

You will need:

  • 3 years experience in providing support at a high level
  • Proficient computer skills and indepth knowledge of relevant software such as MS Office Suite
  • Knowledge of standard office administrative practives and procedures
  • Bachelors degree an advantage
  • Good command of English and Bahasa Malaysia.

The role involves some travelling both domestically and internationally.  You must possess own transportation and a valid passport.
